WHY ARE WE CHANGING SYSTEMS?

We are making this transition to provide a better user experience and cohesion among IMG’s brands to both producers and customers. As a result of this update, you can expect to experience many benefits, including:

• Ability to quote and sell international medical insurance and travel insurance plans in one system
• Better producer reporting capabilities, including one compensation report for your entire IMG book of business
• Access to more training, sales, and marketing resources
• Unified customer service capabilities for all product categories
• Improved turnaround time for administrative requests
• More consistent sales and fulfillment experiences for your customers

HOW WILL PRODUCER COMPENSATION BE AFFECTED?

Compensation payment dates will not change, and no additional information will be required to continue receiving your payments as you have in the past.

Beginning September 2020, all producer compensation statements will be available in the IMG Producer Area. Like all other producer reports, you will be able to log in and view all of your IMG compensation on one statement at any given time, making it faster and more convenient for you to reference and track your IMG business. To view your compensation report, simply follow the steps below:

1. Log into IMG’s Producer Area
2. Go to the Reports tab
3. Select Compensation Statement
4. Select the month & year you wish to view
5. Select Run Report

New compensation statements will be available on the 10th of each month, or the following Monday should the 10th fall on a weekend. You will also receive a courtesy notification when your new statement has been uploaded and is available for retrieval through the Producer Area. Additionally, there will no longer be compensation on the tax portion of a policy’s premium.

Direct deposit is required of all IMG producers to ensure the timely and secure delivery of your compensation. If you have not yet completed the direct deposit setup, we strongly encourage you to contact your Account Executive or the Sales Service Center at 317.655.9799. You can also follow the instructions provided here to prevent potential delays to future payments.

WILL I HAVE A NEW AGENT NUMBER?

Effective August 11, 2020, your iTravelInsured agent number will become your IMG producer number. For producers who are already contracted as an international medical insurance producer and have an IMG producer number, your iTravelInsured agent number will become a sub-producer number, so you can use whichever number you prefer.

WHAT IS HAPPENING TO THE iTravelInsured AGENT PORTAL?

The iTravelInsured Agent Portal will be retired on August 11, 2020 and all producers will now use the IMG Producer Area. There will only be one login per producer number for the IMG Producer Area. If you do not already have access to the IMG Producer Area, you will need to register as a new user (details below). Once you have logged in, you will have access to several new features including:

• Generation of your compensation statement at any given time
• Access to up-to-date production reports, including specific campaigns with uservars for additional tracking capabilities
• Ability to update producer information on your own, including password reset
• Creation of personalized sales and marketing collateral

For iTravelInsured policy increase or policy date change requests, please contact 317.655.9796 and the IMG team will be happy to assist you. As an added convenience, credit card information will be saved in the system for future reference. This means if a change request is made and the member wishes to use the original purchasing card, there will be no delays in trying to obtain credit card information.

HOW DO I REGISTER TO USE THE IMG PRODUCER AREA?

If you are new to the IMG Producer Area, follow the instructions below to register for an account:

1. Go to the “Request a New User Registration” Page
2. Enter your IMG Producer Number and primary email address and click continue in order to receive an email with instructions and a registration link to gain access to the Producer Area
3. Open the email in your inbox from imglobal.com and click the Continue Registration link to prompt a “New User Registration Form” page to open
4. Create and confirm a new password that you will use to access your account (password must be at least 8 characters and contain one lowercase, one uppercase, and one numeric character. It may not contain the # symbol.)
5. Click the Submit button and you will receive a message confirming that you may now log in to the IMG Producer Area
6. You may now log in with your primary email address and password on the Producer Area login page
7. Upon logging in, you will see the IMG Terms and Conditions Agreements. Once you review and check the appropriate boxes, click Next - your registration is complete

Once you have an IMG Producer Area account, you will need to activate your Affiliate Status in order for your personalized quoting links to accurately track and give you credit for your sales. This activation also grants you access to other unique selling tools, such as Web banners, logos, and HTML pages. To activate your Affiliate Status please follow the instructions below:

1. Log in to the Producer Area
2. Click on the Affiliate Area tab at the top of the page
3. Click the Activate Account link in the center of the page
4. Read the Affiliate Agreement and check the box to agree and activate your Affiliate Status
5. Once you have successfully completed the activation, the link will change from Activate Account to Select. The Affiliate Area Section will appear on the right of the page

QUOTING AND SALES

After the system migration is completed, you will no longer use https://www.itravelinsurance.com for quoting. All existing quote links will redirect to the new iTravelInsured SE application.

The new iTravelInsured quoting portal will be implemented within the IMG Producer Area. After logging into the IMG Producer Area, the new quoting system can be accessed through your Producer Plans page, which you can navigate to by selecting the Generate Quote button in the top right of your dashboard and scrolling down to the iTravelInsured plan card and selecting Get Quote. To provide clear attribution, your agent information will be visible in the upper left-hand corner of the page after you generate the quote.

You can also visit your Producer Plans page by entering your IMG Producer Number in the link below and pasting it into your browser:

The new quoting portal will also streamline the purchase process by allowing for better side-by-side plan comparisons, the ability to save and share quotes directly from the portal, and a newly designed purchase confirmation email with a new look and feel. To share a quote via email with a customer, follow these instructions:

1. After accessing your Producer Plans Page and generating a quote for iTravelInsured plans, click the Save and Share button located in the top quote bar and the Save Quote modal will appear
2. This modal allows you to send a quote to one or multiple people with the option to include a custom message, which will appear within the email
3. Upon saving or sharing a quote, the recipient(s) will receive an email from IMG on your behalf with a link which they can follow to view the quote. This email will contain your producer information should they have questions

After opening their quote, customers will be able to purchase through an updated online application that provides accessible plan details, the ability to edit a quote without starting over, and a compare step to choose which iTravelInsured plan is best for their needs.

When purchasing an iTravelInsured plan, to ensure accuracy and privacy, the following fields will now be required in order to complete transactions:

• Customer’s full date of birth
• Destination – If there are multiple destinations, please input either the first location or the location with the longest duration
• CVV security code on purchasing credit card

BULK ENROLLMENT

For producers enrolling large groups of insureds (more than ten travelers) on Travel GT policies, please use and reference the new bulk enrollment form for all future submissions. The new bulk enrollment file includes several column and formatting changes and that must be followed in order for your submission to be uploaded successfully. Other than adding the insureds’ information, please do not add, delete, or make any additional changes to the columns or formatting of the columns in the new form. The following are formatting updates and guidelines to follow when using the new form:

• The submitter must type their name as signature and date at the appropriate places in Cell A1, verifying they have authority to bind coverage
• We will only be able to accept one form of payment for Travel GT policies
• Insured Data must always start on Row 4
• New or Changed Columns
  • Col F – Full date of birth is required
  • Col N – Electronic Signature is require
    • Col O – Signature Relationship is required if first traveler in group is under 16
  • Col P – Destination Country is required with 3 letter code
  • Col R – App Type is required, List (see below for list
    • Please note: App Types must include the leading zero where applicable: 0417 is correct, not 417. New app types are created when benefits or rates change
  • Col U – Initial Payment Date is required
  • Col V – Name of Credit Card or Bank Account is required for CC or Electronic check
  • Col Z – CVV is required for Credit Card
  • Col AA – Account Type is required for eChec
• Some columns have specific formatting requirements, such as “text” – these are noted in the fil
• Credit Cards numbers must be formatted as “text
  • You can format as text in excel or by putting a ‘ in front of the number when entering it into the cell (e.g. ‘12345)
• Removed Columns
  • Group Indicator
  • Agent Emai
  • Destination Code – Replaced with Destination Countr
  • Policy Type# - Replaced with Product Code and App Typ
  • Trip Type
  • Commission % - This is determined by our system

AM I CONTRACTED TO SELL IMG’S TRAVEL INSURANCE PLANS?

If you were contracted with IMG in or after November 2017, you are already contracted to sell both international medical insurance and travel insurance plans and no further action is required. If you were contracted with IMG prior to November 2017 and are currently only contracted to sell IMG’s international medical insurance plans, please click here to download the producer agreement to become an iTravelInsured producer. You can also contact your Account Executive or the Sales Service Center at 317.833.1737 for information on how to become an iTravelInsured producer

WILL I STILL BE ABLE TO ACCESS iTravelInsured.com?

The iTravelInsured website will remain up throughout the system migration, but it will soon be discontinued. All information on www.itravelinsured.com will be available on IMG’s website – this includes plan information and policy and coverage details. Although the site will remain active in the short-term, the iTravelInsured Agent Portal will no longer be available and all agents should utilize the IMG Producer Area for both product categories, as this will only simplify and increase the ease of doing business with IMG.

MyIMG.com: Member Portal

Beginning August 11, 2020, all IMG members who have purchased an iTravelInsured plan will be able to create a MyIMG account (IMG’s member portal), which will allow them to

• Access plan documents
• View and update contact information
• Download claim forms directly to their computer or device
